Creating and Managing a Vacancy
This article walks you through the creation of a vacancy to offer places in your sections.
Only approved users can access the waiting list system. If you need to be registered onto the system, please encourage your line manager to submit a request by emailing support@elstreescouts.org.uk

| Those two codes add the following to the page the parents get links for which then allow them decide whether they accept the offer, decline your offer, or ask to remove their data | ||
| 6 | Add any further useful information or message for the parents to help them make the decision to join your group or not. | |
| 7 | We now start completing the vacancy details, we start by selecting your Group | |
| 8 | Form must always be Waiting List | |
| 9 | Select your Start Date | |
| 10 | At this point click "Save Draft" in the top right | |
| 11 | You can now start filtering to build your candidate List. | |
| 11a | Filtering by Age, most of you will be filtering by age, so you can start your filtering here, by selecting the age range (in 3 month blocks). | |
| 11b | If you are forward planning for an after Easter holiday start, but it's only February, you can use the Vacancy Start date to recalculate the young persons age to what it would be at the start of the Summer. In the example to the right I have 6 places starting the 25th April, I want to know who is aged between 5y/9m and 7y/3m on the 25th April, so this is how I would set my age filter. This results in 301 candidates (as of 25/2/2022) |

| 11c | You can now add additional filters an Match Any or Match All filtering. In the example here, we're expanding on the previous example. We're looking for 6 Beavers between 5/9 and 7/3 as aged on the 25th April 2022 who have 1st Crownhill as their closest OR second closet Group. This results in 11 candidates (as of 25/2/2022) |

| 12 | To update your list of potential candidates click Get Waiting | |
| 13 | Once you have selected your candidates, by ticking the box on the left, click Add Selected to Vacancy | |
| 14 | If you need to remove a candidate, tick their box, and click Remove Selected. | |
| 15 | When you have finalised your list of invites to send, tick the ones you want to send an email to and click Send Invite | |
| 16 | This marks their record as ready to send the email when you Publish, or if already published, when you click Update | |
| 17 | When you click Publish, your vacancy is live, emails will get sent, and parents can click to accept, decline or have their data removed. The notification email is as bel |
